# Job Cards

Job cards are the detailed record of maintenance work carried out on a vehicle in the workshop. Each job card captures the parts used, labour applied, the assigned technician, and the total cost of the work, giving you a complete history of every job your workshop performs.

> **Permissions:** Workshop Users and Administrators can create, edit, and close job cards. Fleet Managers can view job cards. Standard Users can view job cards for vehicles in their assigned depot.

## Opening the job cards tab

To open the Job Cards tab:

1. Click **Workshop** in the sidebar.
2. Select the **Job Cards** tab.

## View modes

The Job Cards tab has two view modes. A toggle in the header switches between them.

### List view

List view shows job cards in a searchable, filterable table. It is the default view and is best when you want to scan many job cards quickly, sort by a column, or apply detailed filters.

The list shows the following columns:

| Column                  | Description                                                             |
| ----------------------- | ----------------------------------------------------------------------- |
| **Job Number**          | The unique job card number.                                             |
| **Vehicle**             | The vehicle the job card is for, shown as a VRN plate.                  |
| **Status**              | A coloured pill showing the current job card status.                    |
| **Category**            | The job card category, for example Mechanical, Electrical, or Bodywork. |
| **Assigned Technician** | The technician responsible for the work.                                |
| **Created**             | The date the job card was created.                                      |
| **Total Cost**          | The total cost of parts and labour on the job card, in £.               |

### Kanban view

Kanban view arranges job cards into columns based on their status, for example **Pending**, **In Progress**, **Quality Check**, and **Complete**. Each job card appears as a card you can scan visually.

Use kanban view when you want to see the flow of work through the workshop, spot bottlenecks at a particular status, or quickly check what is sitting at quality check.

> **Tip:** The exact columns shown in kanban view are driven by your **Job Card Statuses** settings, including their order. Configure these under [Workshop settings](/geotab-add-in/workshop/workshop/workshop-settings.md).

## Filters

Several filters are available across both views:

* **Status sub-tabs** -- Quickly narrow the list to a single status.
* **Search** -- Find a job card by job number, VRN, or technician.
* **Date range** -- Restrict the list to job cards created within a date range.

## Job card detail view

Clicking a row in list view, or a card in kanban view, navigates you to the **Job Card Detail View**. This is a full-page replacement, not an overlay, the Workshop tabs are replaced by a dedicated detail page with a back-arrow header at the top.

Click the back arrow to return to the Job Cards tab. Your previous view, filters, and search are remembered.

The Job Card Detail View is organised into the following sections:

* **Header** -- Shows the job number and the vehicle plate.
* **Status timeline** -- Visualises the statuses the job card has passed through, with timestamps.
* **Line items table** -- Lists every part used and every block of labour, with quantity, unit cost, and line total.
* **Technician panel** -- Shows the assigned technician and their skills.
* **Notes** -- Free-text notes for the job card.
* **Print/Export action** -- Generates a printable or exportable copy of the job card for filing or sharing.

### Line items

The line items table holds two types of row:

* **Part** rows record parts used. Each row shows the part description, quantity used, unit cost, and total.
* **Labour** rows record labour applied. Each row shows the labour description, quantity (typically hours), unit cost (the rate per hour), and total.

The line items table sums to the **Total Cost** shown in the list view.

## How to create a job card

Use these steps to create a new job card.

1. Click **Workshop** in the sidebar, then select the **Job Cards** tab.
2. Click **New Job Card**.
3. The create flow opens. Fill in the initial details:
   * **Vehicle** -- Select the vehicle the work is for.
   * **Category** -- Choose a job card category, for example Mechanical, Electrical, or Bodywork.
   * **Assigned Technician** -- Pick the technician who will lead the work. The list is filtered against your skill matrix to suggest qualified technicians.
   * **Status** -- Set the initial status, typically the first status in your workflow.
   * **Notes** -- (Optional) Add any context.
4. Click **Save**.

The new job card appears in the list and kanban view, and the **Job Card Detail View** opens for further editing.

> **Tip:** Job cards are often created from a booking when the vehicle arrives in the workshop, or from a work item in the [Work Queue](/geotab-add-in/work-queue/work-queue.md). The vehicle and category are pre-filled when you create a job card from these places.

## How to add parts and labour to a job card

Once a job card is open, you can record the parts used and labour applied. The total cost is calculated automatically.

1. Open the job card from the **Job Cards** tab.
2. Scroll to the **Line items** table.
3. To add a part:
   * Click **Add Part**.
   * Select the part from the parts catalogue. The part's unit of measure and unit cost are pre-filled from the **Parts** settings.
   * Enter the **Quantity** used.
   * Confirm or override the **Unit Cost**.
   * Click **Save** to add the line item.
4. To add labour:
   * Click **Add Labour**.
   * Enter a **Description** of the labour.
   * Enter the **Quantity** in hours.
   * Select a **Labour Rate Card**. The rate per hour is pre-filled from the rate card; you can override it for this job if needed.
   * Click **Save** to add the line item.
5. Repeat as needed for additional parts or labour.

The line totals and the overall **Total Cost** update automatically as you add or remove rows.

> **Note:** The parts catalogue, units of measure, unit costs, and rate cards used here all come from [Workshop settings](/geotab-add-in/workshop/workshop/workshop-settings.md). Keeping these settings up to date keeps your job card costs accurate.

## How to close a job card

Closing a job card marks the work as finished and removes it from open work counts shown on the [Workshop dashboard](/geotab-add-in/workshop/workshop/dashboard.md).

1. Open the job card from the **Job Cards** tab.
2. Confirm that all line items are recorded correctly.
3. Add any final **Notes** explaining the outcome of the work.
4. Change the **Status** to a status that is flagged as **Counts as Closed** in **Workshop > Settings > Job Card Statuses**. Typically this is **Complete**, though your organisation may use a different name.
5. Click **Save**.

The job card moves to the closed column on the kanban board, drops out of the **Open Job Cards** count on the dashboard, and contributes to the **Closed Today** and **Revenue This Month** KPIs.

> **Important:** Once a job card is closed, you should treat its line items as a permanent record. If you need to make a correction afterwards, reopen the job card by changing its status back to an open status, make the change, and close it again.

## Printing and exporting

The **Print/Export** action in the Job Card Detail View produces a printable copy of the job card. Use this to:

* Hand a paper copy to the driver collecting the vehicle.
* File a copy of the work for compliance or audit purposes.
* Share the job card with an external customer or supplier.
