# Job Cards

A **Job Card** is the working record of a piece of workshop work. It captures what the customer reported (the Complaint), what the technician found (the Cause), and what was done about it (the Correction), along with all the labour, parts, fees, and sublet work that went into the job.

To open the page, go to **Workshop > Job Cards** in the sidebar.

> **Permissions:** Workshop access is required to view and edit job cards.

## What you can do

* See every job card in your workshop, open or closed.
* Switch between a list view and a Kanban view to suit how you work.
* Filter by status, priority, depot, bay, VOR (Vehicle Off Road), or whether the card is closed.
* Open a job card to record the Three Cs, log labour time, add parts, and capture fees.
* Track required skills against a job card and check that the assigned technician is qualified.

## Job Cards list

The list page is the default landing view for job cards. Use the **List** / **Kanban** toggle in the toolbar to switch layouts; your choice is remembered the next time you open the page.

### Column reference (List view)

| Column       | Description                                                             |
| ------------ | ----------------------------------------------------------------------- |
| **Number**   | The job card number. Click to open the detail page.                     |
| **Vehicle**  | The vehicle registration shown as a yellow plate.                       |
| **Priority** | The priority pill: **Low**, **Medium**, **High**, or **Urgent**.        |
| **State**    | Whether the card is **Open** or **Closed**.                             |
| **Opened**   | The date and time the card was created.                                 |
| **Total**    | The grand total for the job, including labour, parts, fees, and sublet. |
| **VOR**      | A pill if the vehicle is flagged as off road.                           |

### Kanban view

Kanban view shows one column per active job-card status, ordered by bucket --- **Open**, then **On Hold**, then **Closed**, then **Cancelled**. Each column header shows the status name, a coloured border that matches the status, and a count of cards.

Each card on the board shows the job number, priority, vehicle, opened date, total, and VOR pill if set.

### Filters

| Filter             | Description                                                                                                                                   |
| ------------------ | --------------------------------------------------------------------------------------------------------------------------------------------- |
| **Search**         | Search by job number, vehicle, or other text.                                                                                                 |
| **Status**         | Filter by job card status (configurable in [Workshop Settings](/documentation/workshop/workshop-ops/workshop-settings.md#job-card-statuses)). |
| **Priority**       | Filter by Low, Medium, High, or Urgent.                                                                                                       |
| **Depot**          | Filter to a specific depot.                                                                                                                   |
| **Fleet**          | Filter to a specific fleet.                                                                                                                   |
| **Bay**            | Filter to a specific bay. Only enabled when a depot is selected; clears if you change depot.                                                  |
| **Include Closed** | When enabled, closed cards appear in the list. Off by default.                                                                                |
| **VOR Only**       | When enabled, only Vehicle Off Road cards are shown.                                                                                          |

## Job Card detail

Click any row or card to open the detail page. The detail page is organised in sections, each focused on one aspect of the work.

### Header

The header shows:

* The **job number** in monospace text.
* The **status pill** (Open or Closed).
* The **priority pill** (Low, Medium, High, Urgent).
* A **VOR** pill if the vehicle is flagged as off road.
* The **category** name and **trigger source** (for example, **Booking Conversion**, **Service Schedule**, or **Manual**).
* The **primary VMRS system** code, if one is set.

### Summary

A small grid below the header shows:

* The **vehicle registration**.
* The **opened** date and time.
* The **closed** date and time (if applicable).
* The **grand total** for the job.

### The Three Cs

Every job card has space to record:

* **Complaint** --- what the customer or driver reported.
* **Cause** --- what the technician determined caused the issue.
* **Correction** --- what was done to fix it.

Click **Edit** in the Three Cs section to update any of the three fields.

### Required skills

The Required Skills section shows skills the job needs the technician to hold, with proficiency level and (if relevant) qualification expiry date. Skills shown with an amber expiry date are due to expire soon; red means already expired.

To manage required skills:

1. Click **Edit** on the Required Skills section.
2. Select skills from the multi-select.
3. Set the required proficiency level for each.
4. Save.

### Labour lines

Labour lines record technician time and what was done. Each line shows the technician, a description of the work, the quantity (in hours), the rate, and the line total.

To add a labour line:

1. Click **Add Labour Line**.
2. Select the **Technician**.
3. Enter a **Description**.
4. Enter the **Quantity** (in hours) and **Rate**.
5. Click **Save**.

Each labour line has its own **clock-in / clock-out** controls so technicians can time their work directly. Edit and delete actions are available per row.

### Part lines

Part lines record parts consumed against the job. Each line shows the part number, quantity, cost price, and sale price.

To add a part line:

1. Click **Add Part Line**.
2. Select the **Part** from the parts catalogue.
3. Enter the **Quantity** used.
4. Confirm or override the **Cost** and **Sale Price**.
5. Click **Save**.

Part lines deduct from stock on hand. To manage the parts catalogue, see [Workshop Settings: Parts](/documentation/workshop/workshop-ops/workshop-settings.md#parts).

### Fee lines

Fee lines capture additional charges that are not labour or parts (for example, environmental fees, consumables, or recovery charges). Each line is a description plus an amount.

### Sublet lines

Sublet lines record work outsourced to a third party. Each line records the **Vendor** (a supplier) and the **Amount** charged.

### Service task lines

Service task lines link the job card to specific service tasks defined in the Maintenance module. Each line shows the task description and a status indicating whether it has been completed.

## Changing status

Click the **Change Status** button in the header to move the card through your configured workflow. If the chosen status requires a reason, you are prompted to enter one. Closed and cancelled cards lock most editing actions; reopen the card if you need to make further changes.

## Closing and reopening

* Click **Close** to close an open job card.
* Click **Reopen** on a closed card to make it editable again.

> **Important:** Once closed, all line item edits are disabled. Reopen the card before adding or amending lines.

## Technician skill matrix

To check what a technician is qualified to do, open the Technician Skill Matrix from the technician record (or directly via **Workshop > Technicians > \[name] > Skills**). The matrix shows every skill defined in the system, the technician's current proficiency level, when they qualified, and when (if ever) the qualification expires.

Editing a skill cell opens a small dialog where you can:

* Set the **Proficiency** level.
* Set the **Qualified Since** date.
* Set an **Expires At** date.
* Add **Notes**.
